In iOn, we use the term operator for the drivers of your vehicles. This article describes the various features of the Admin - Operators screen, which you access by clicking  >> Admin >> Operators. The Admin - Operators screen is where your organization's iOn administrator will add new operators (either individually or in bulk using the import feature) and edit or delete existing ones. After you create an operator, you can associate them to a vehicle asset they drive consistently (on the Admin - Assets screen).

If your default iOn group is your organization's top-level group, the Admin - Operators screen might be blank when you open it. If that is the case, select Include Subgroups at the bottom of the screen. By default, your operators are listed by first name in ascending order (from A to Z).

Here is an explanation of the grid icons and column headers:

Note: You may need to use the scroll bar at the bottom of the grid to see the columns to the right.

  • Group: The name of the fleet group the operator belongs to.
  • First Name: The operator's first name, as entered when their profile was created or last modified.
  • Last Name: The driver's last name.
  • Alias: An optional secondary identifier for the operator; this is used by only a few customers.
  • Type: The classification for the operator, such as Operator Type I.
  • Category: The grouping to which you've assigned the operator, such as Driver (if your organization has designated categories).
  • Badge: The operator's badge number, or employee ID number.
  • Schedule: The operator's specified set of days and hours they are supposed to work. Operator schedules are designed to work in coordination with the Unauthorized Usage reports, which show when operators drove vehicles in a time window that was not permitted (for example, outside of their assigned schedule of 9:00 a.m. to 5:00 p.m.). In addition, you can set an alert to be triggered should its event occur any time outside the applied scheduled. (See Adding a Schedule.)
  • Phone: The driver's cell phone number.
  • Asset: The asset the operator is assigned to, which should be the vehicle they most often drive.
  • Status: The operator's current state in the database, such as Enabled.
    Note: If the Status is set to Disabled or Suspended, the operator will be unable to be assigned to a vehicle asset.
  • Actions: Functions you can perform for the operator on this screen.
  • : Opens the Edit window for the operator, in which you can modify their profile settings. (See Editing an Operator's Profile for details.)
  • : Opens the Audit window, in which you can see what edits have been made to the operator's data and by whom. (See Auditing Changes Made to an Operator's Profile for details.)
  • : Deletes the operator. (See Deleting an Operator for details.)

These are the options along the bottom of the screen:

  • Select Columns: Enables you to add or remove columns. (See Customizing the Grid Layout for details.)
  • Clear Filters: If you have applied filters to any columns (see Sorting and Filtering Column Data), removes them. Note that this is necessary before you can apply any subsequent filters for a column.
  • Clear Sort: If you have sorted the data in a column (see Sorting and Filtering Column Data), removes the sort.
  • Export to CSV: Exports and downloads the grid data to a CSV (comma-separated value) file.
  • Include Subgroups: Displays the operators of the subgroups (if any) of the group you have selected in the Group Chooser. (See Choosing a Group to View Globally for details on how to change the group each screen will display the data for upon launch.)
  • Import Operators: Begins the process of adding multiple operators to your iOn account. (See Importing Operators for details.)
  • Add Operator: Begins the process of adding an individual operator to your iOn account. (See Adding an Operator for details.)
  • Edit: Opens the Edit window for the selected operator, in which you can modify their profile settings. If you select multiple operators prior to clicking Edit, you can modify only common fields for them. (See Editing an Operator's Profile for details.)
  • Delete: Removes the selected operators from the system. (See Deleting an Operator for details.)
  • Refresh: Refreshes the data on the screen (which can be especially useful if other users are making changes).
